RFID 101
A practical introduction to RFID tags, readers, antennas, software, passive and active RFID, scanning workflows, and how a complete RFID system turns reads into useful business events.
RFID Intro
RFID stands for radio frequency identification. In a normal business system, an RFID tag is attached to something physical and an RFID reader captures the tag's identifier when it is within a usable read field.
The valuable part is what happens after the read. Software connects the identifier to an asset, inventory item, shipment, badge, document, tool, or business record and decides what the read means.
System pieces
Common hardware
A complete RFID system is assembled from physical pieces that match the asset and workflow. The same project may use several tag formats, handheld scanners, fixed readers, antennas, printers, and software records.
What happens during a read
A reader energizes the read zone through an antenna. A compatible tag responds with its identifier. The reader reports that identifier, usually with timing and reader context, to software.
The software then maps the identifier to a record. Depending on the workflow, that may become a count, location event, checkout transaction, shipment verification step, or exception.
Passive RFID
Passive RFID tags do not have their own battery. They respond when a reader provides enough RF energy. Passive RFID is common for inventory, labels, documents, tools, equipment checkpoints, and dock portals.

Active RFID

Frequencies
RFID systems operate in different frequency families. LF is often used for close-range animal ID and access-control style applications. HF includes NFC-style short-range use cases. UHF is commonly used for inventory, asset tracking, dock doors, supply-chain labels, and many passive RFID business systems.
Frequency choice affects tag form factor, read range, data standards, reader selection, environment fit, and cost. Do not choose a frequency from range alone; choose it around the workflow.
Tag data
Most business RFID systems do not store a full asset record on the tag. The tag usually carries an identifier, such as an EPC or another encoded value. Software uses that identifier to find the item, badge, carton, tool, document, or asset record.
Tag commissioning is the process of assigning, encoding, printing, and verifying that identifier before the tag is trusted in the live workflow.
Terminology
Buyers often use "scanner" for a handheld RFID device and "reader" for the RFID hardware that communicates with tags. In practice, a handheld scanner is a reader, antenna, mobile computer, and often a barcode scanner in one workflow device.
Scanning
You bring a handheld reader near the tagged item or move the tagged item through a fixed read zone. The read still depends on tag type, orientation, material, distance, reader power, antenna pattern, and the surrounding environment.
RFID vs barcode
RFID can reduce line-of-sight scanning and support bulk reading or fixed checkpoints. Barcodes are still simple, inexpensive, and effective when a worker can easily see and scan the label.
Many good systems use both. RFID handles the workflow where radio reads add value, while barcode or human-readable text supports exception handling and visual confirmation.
What RFID can track
RFID can identify assets, tools, inventory, documents, badges, equipment, vehicles, cartons, pallets, reusable containers, animals, and tagged work-in-process items when the tag and reader architecture fit the environment.
What it cannot assume
Passive RFID is not GPS. It does not automatically provide exact coordinates, compliance, condition, custody, or business status. Those meanings come from read-point design, sensors where needed, software rules, and process validation.

Project start
Start with the physical workflow: what is tagged, where it moves, who handles it, what system owns the record, and what event would make the operation better. Then test tags, readers, antennas, and software logic on representative assets before rollout.
